JOB DESCRIPTION
Gentilhomme is looking for a coordinator with 3 to 5 years of experience in a similar role, ideally in a multidisciplinary and creative environment.
Reporting to the head of finance and administration, the successful candidate will be responsible for managing studio operations and assisting the management, production, creative, and business development teams at an operational level.
KEY RESPONSIBILITIES
STUDIO MANAGEMENT
Rigorous supervision of the general functioning of the studio (organization, cleanliness, maintaining a safe environment)
Responsible for relationships with corporate suppliers (building, maintenance, cell phones, travel agency)
Purchasing supplies for the smooth operation of the studio (snacks, office supplies, etc.)
Organizing office social activities
Organize and coordinate special events and studio tours for VIP visitors - including food and beverage, product demos, entertainment and more
OPERATIONS
Support for the management team - meetings, presentations, dashboards, liaison with different departments
Management of studio operational processes and data (project opening and closing, time management, server hygiene, archiving, nomenclature, inventory, etc.)
Optimization, automation, and documentation of studio procedures
Organization of general studio meetings
Development of internal and external presentation tools
Maintenance of the freelancer and supplier database
Collaboration and support to teams at the operational level, including organizing pitches and responses to calls for tenders, travel management, and expense tracking
HUMAN RESOURCES
Onboarding new employees
Writing and continuously updating policies and procedures
Writing job descriptions in collaboration with management and posting on networks
Managing applications, sorting, and dispatching to department leads
Tracking hours in Harvest, absence banks, and the studio calendar
REQUIREMENTS
3 to 5 years of experience in studio management, operations, or related fields, ideally in a creative context
Excellent organizational skills and rigor in priority management
Strong execution capacity, motivation, and autonomy
Interpersonal skills and diplomacy
Openness, adaptability, and a desire to contribute to Gentilhomme's success
Ability to structure, optimize, and evolve operational processes in a constantly changing environment
Excellent command of French and English, both oral and written
Proficiency with collaborative tools (Coda, Slack, etc.) and the Google Suite
Ability to handle administrative tasks with rigor.
